This Privacy Policy explains how we collect, use, store and disclose personal information when you visit our websites, contact us, enquire about our services, or engage us to provide funeral or death care services.
1. What information we collect
The information we collect depends on how you interact with Rest and the services you require.
This may include:
- your name and contact details, including your email address, telephone number and postal address;
- information about the person who has died, including their name, date of birth, date of death and other information necessary to arrange their funeral or death care;
- information about family members, next of kin, authorised representatives and other people involved in arranging a funeral;
- information necessary to arrange and provide funeral, cremation, burial and other death care services;
- information provided to us by hospitals, aged-care facilities, medical practitioners, the Queensland Coroner, government agencies or other service providers where necessary to provide our services;
- payment and billing information;
- information contained in correspondence, enquiries, forms, documents and other communications you provide to us;
- information relating to your use of our websites, including IP address, browser type, device information, pages visited and other technical information; and
- any other information you voluntarily provide to us.
We only collect information that is reasonably necessary for our business activities and the services we provide.
2. How we collect information
We generally collect personal information directly from you when you:
- contact us by telephone, email or other means;
- submit an enquiry or form through one of our websites;
- request a quote or proposal;
- engage us to provide funeral or death care services;
- communicate with us during the arrangement or delivery of a funeral or other service;
- make a payment; or
- subscribe to receive information or marketing communications from us.
We may also collect information from third parties where this is reasonably necessary to provide our services. This may include hospitals, aged-care facilities, medical practitioners, government agencies, the Queensland Coroner, crematoriums, cemeteries and other service providers.
We may collect some information automatically when you use our websites, including through cookies, server logs and similar technologies.
3. Why we collect and use personal information
We may collect, hold, use and disclose personal information to:
- respond to enquiries and provide pricing, quotes and proposals;
- arrange and provide funeral, cremation, burial and other death care services;
- communicate with you about services you have requested or engaged us to provide;
- coordinate with hospitals, medical practitioners, government agencies, crematoriums, cemeteries and other service providers where necessary;
- prepare and maintain records associated with a funeral or other service;
- process payments, invoices and other financial matters;
- meet our legal, regulatory, accounting and other obligations;
- respond to complaints, enquiries and requests;
- maintain and improve our services, systems and websites;
- protect the security of our business, systems and customers;
- detect and prevent fraud or other unlawful activity; and
- send information about Rest, our services, resources or events where permitted by law.
We will not use personal information for unrelated purposes unless you have consented to that use or the use is otherwise permitted or required by law.
4. Information about deceased people
Funeral arrangements necessarily involve information about people who have died.
Information about a deceased person is not generally treated as “personal information” under the Privacy Act 1988 (Cth). However, information collected in connection with a funeral may also contain personal information about living individuals, including family members, next of kin, authorised representatives, medical practitioners and other people involved in the arrangement.
We handle information relating to deceased people with the same care and respect that we apply to other information held by Rest.
Where information about a deceased person is combined with personal information about a living individual, we take reasonable steps to protect the personal information of that living individual.
5. Disclosure of personal information
We may disclose personal information where reasonably necessary to provide our services or conduct our business.
Depending on the circumstances, this may include disclosure to:
- medical practitioners, hospitals and aged-care facilities;
- the Queensland Coroner and other government agencies;
- crematoriums, cemeteries and burial authorities;
- celebrants, clergy and other people involved in providing a funeral service;
- transport providers and other contractors engaged in connection with a funeral;
- payment processors;
- accountants, insurers, lawyers and other professional advisers;
- technology, communications and other service providers that assist us in operating our business; and
- government, regulatory or law enforcement authorities where required or authorised by law.
We do not sell personal information.
Where we engage a third-party service provider to handle personal information on our behalf, we take reasonable steps to ensure that the information is handled appropriately and securely.
6. Our technology and information systems
Rest operates its own funeral management and client management software, DeparturePilot.
Our primary client database and operational systems are hosted on dedicated server infrastructure located in Sydney, Australia.
This system is used to manage information required to operate our business and provide funeral and death care services.
We also use third-party technology providers for specific functions, including business email, transactional email delivery and credit card payment processing.
7. Overseas disclosure
Rest’s primary client information systems are hosted in Australia. However, some service providers we use may process personal information outside Australia.
Sinch Mailgun
We use Sinch Mailgun to deliver transactional emails generated by our systems, including emails associated with website enquiries and forms.
Rest uses Mailgun’s European Union region for this service. Mailgun states that message data and related region-bound data processed in its EU region remains within that region.
Stripe
Customers may choose to pay by credit card using Stripe.
Stripe may process payment and related personal information in Australia and overseas. Stripe’s Australian privacy information identifies Australian and Irish Stripe entities involved in processing and also describes international processing and transfers.
Zoho Mail
We use Zoho Mail for business email. Our Zoho Mail service is provided through Zoho’s Australian domain and data centre.
Other providers
The technology and service providers we use may change from time to time as our systems and business requirements develop. Where personal information is likely to be disclosed to an overseas recipient, we will manage that disclosure in accordance with applicable Australian privacy requirements.
The primary location of our client database and operational systems remains Australia.
8. Cookies and website technologies
Our websites may use cookies and similar technologies to operate the websites, maintain security and understand how visitors use our websites.
At present, Rest does not use third-party analytics services to track visitors across our websites.
We may introduce our own analytics or other website measurement tools in the future to help us understand website usage and improve our services. If we do so, this Privacy Policy will be updated where necessary.
You can generally control or disable cookies through your browser settings. Disabling certain cookies may affect the functionality of parts of our websites.
9. Direct marketing
We may use your contact details to send you information about Rest, our services, educational resources, events or other information that may be relevant to you where permitted by law.
We will provide a simple way for you to unsubscribe from marketing communications.

We will not make receiving marketing communications a condition of providing funeral or death care services.
We will comply with applicable requirements relating to direct marketing, including the Australian Privacy Principles and the Spam Act 2003 (Cth), where applicable. The OAIC notes that direct marketing must include an appropriate means of opting out where APP 7 applies.
10. How we store and protect information
Rest takes reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure.
Our information may be held in electronic systems, cloud-based services and physical records.
Our primary client database and operational systems are hosted on dedicated server infrastructure in Sydney, Australia.
We use appropriate technical and organisational measures to protect information, including access controls, authentication, encrypted data transmission and server and application security measures appropriate to the nature of the information we hold.
No method of storing or transmitting information is completely secure. While we take reasonable steps to protect personal information, we cannot guarantee that information transmitted over the internet will be completely secure.
If we become aware of a data breach that is required to be notified under applicable law, we will respond in accordance with the Privacy Act 1988 (Cth), including the Notifiable Data Breaches scheme where applicable.
11. How long we keep information
We retain personal information for as long as reasonably necessary for the purposes for which it was collected.
This may include retaining information for the duration of a funeral arrangement and afterwards where necessary to:
- maintain business and financial records;
- meet legal, regulatory, accounting or other obligations;
- resolve disputes or complaints;
- maintain appropriate records of services provided; or
- protect our legitimate business interests.
Some records may need to be retained for periods prescribed by law.
When personal information is no longer required, we take reasonable steps to securely destroy, delete or de-identify it.
12. Access to your personal information
You may request access to personal information that Rest holds about you.
